Preferred First.Last Email Addressing Policy

Useful Definitions
- FDL - The first.last mail address. This is composed
of each user's true first and last names.
- pFDL - Preferred first.last mail address.
This is composed of each user's true last name and a
preferred first name. Each user can have only one pFDL.
Assignment
A preferred FDL is granted only to current Case faculty, staff,
and students strictly on a first-come, first-serve basis. The preferred
FDL must be unique with respect to already-assigned FDLs.
Each user may have only one preferred FDL. They are of the same
form as FDLs but can contain a preferred first name designated by
each individual user. For example, a person with the
FDL elizabeth.smith@case.edu can choose to have a
pFDL of beth.smith@case.edu, liz.smith@case.edu,
bess.a.smith@case.edu, or even jane.smith@case.edu
assuming the desired pFDL is not an email address already in use.
If the requested pFDL is already in use, you must select a different
pFDL. Try using your middle initial such as jane.a.smith@case.edu
or selecting an alternative nickname like janie.smith@case.edu.
The user-defined first portion of a preferred FDL must begin
and end with an alphanumeric character and may contain up to 80 alphanumeric
characters, hyphens, or periods. The user's true last name is appended
to the initial portion, separated by a period, to form the pFDL.
The spelling of the last name is determined by the information received
from the authoritative source. The source is based on the affiliation
each user has with the University. The authoritative sources are:
- Human Resources - all Case faculty and staff;
- Registrar - all Case students.
Changes
An individual may change his or her pFDL at any time using the
same web form
used to obtain one. The same restrictions and policies
as pFDL assignment apply.
Note, however, that changing a pFDL causes the former pFDL to cease working.
It may take up to 24 hours for the new pFDL to take effect, but should take
ten minutes in most cases.
Differences Between pFDLs and FDLs
FDLs will remain a person's primary email address.
Preferred FDLs are to be considered a convenience, adding to the ways
a person receive email. Upon leaving the university, a person's
pFDL will cease to function and will be returned to the available FDL
pool.
